Program Support Assistant (OA)

This position will be central in assisting BH&S programs with accreditation efforts, to include, but not limited to, Joint Commission (JC) and Certification and Accreditation of Rehabilitation Facilities (CARF). Duties include but not limited to the follow:
Provides the full range of administrative support services for SPC Collect, compile, research, track and report program data for use in program development, reporting to leadership, and reporting to accrediting bodies. Function as the main point of contact for the SPC program and staff for other departments, facility leadership, Veterans, their family, and other stakeholders. Assist Coordinator and case management staff in preparing for, organizing and conducting Outreach Events designed to increase access to VA services to those at-risk Veterans. Perform the full range of clerical duties, to include telephone coverage, use of word processing, report preparation, spreadsheet and presentation software, use of Vista and CPRS; and would provide this same coverage to other administrative support positions throughout the BH&S care line. Gather data for facility, VISN, VACO and NEPEC reports, utilizing various data collection systems. Creates PowerPoint presentations and other educational materials related to BH&S program areas. Collect, compile and/or track statistical information in support of program operations, and accesses status and outcomes in relation to established performance measures, goals and objectives. Receive and process documents and reports in accordance with established procedures. Use software applications to draw information from a wide variety of sources in order to prepare reports. Assist in the planning, review, and reporting of data/statistical results of program studies. Provides data/reports related to the administrative, clinical, and technical aspects of the programs to the V ISN 4 Network Office, Central Office, or other facility leadership needing this data. Manage the patient flow through these programs, with a goal of high census and compliance of performance measures at all times. Manage all clinic stop/encounter/report paperwork related to these programs, as well as keeping all policies/procedures/operation manuals to meet Joint Commission and other VHA Quality Assurance standards. Utilize statistical data to compile monthly workload reports for all program staff. Provide a point of contact for patients, medical center staff, Veteran's Integrated Service Network (VISN) staff, community agencies and various others who contact these BH&S programs. Preparation and timely filing of the PCT demographic reports to NEPEC. Data tracking and follow up for appointment utilization. Assembly of PTSD Assessment Clinic intake packets and filing of patient assessment products (checklists, inventories, etc.). Create purchase requests and equipment requests in support of BH&S program areas. Coordinates meetings, conference calls and scheduled leave, as well as prepare travel papers and schedule conferences for program staff. Prepares commitment paperwork for all levels of involuntary commitment. Communicates several times a week with the offices of both the County Courts and Mental Health agencies in both Lebanon and Lancaster counties to coordinate commitment hearings and transfers to differing levels of mental health commitment. Prepare court documentation and validates completion of commitment forms as required. Secure witnesses for court hearings. Work Schedule:

Experience:
You must have one year of specialized experience equivalent to at least the next lower grade GS05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Performing clerical and assistant tasks in support of a program; reviewing documentation and verifying document authenticity; demonstrated skill with computer software; paying close attention to detail and providing customer service. Additional experience could include composing letters, enter and/or extracting data from databases, and using outlook and word processing software; receiving emails/telephone calls concerning such items as scheduling, data reporting, and referrals; and/or making reservations for meetings.
